Top 10 Questions to Ask a Supplier Before Buying Body Armour for Your Organisation

3 min read

The difference between a good and a bad armour purchase is rarely visible in the brochure. It shows up later - in test reports that don't match the delivered model, in weights that make officers leave vests behind, in warranties that evaporate. These ten questions, asked before contract signature, expose most problems early. They also mirror the documentation TehnoUrban prepares as standard for authorised institutional buyers, because serious suppliers expect to be asked.

1. "Can you provide test documentation for the exact model offered?"

Not a similar model. Not the product family. The exact model number, materials and areal density being quoted. Certificates and test reports are configuration-specific; a supplier who hesitates here is telling you something.

2. "Which standard and which version does the product address?"

Standards evolve - NIJ, for instance, has published an updated standard with new level designations. The offer should state the standard, the version, and the level, in writing.

3. "What is the weight, per size, of the delivered configuration?"

Request a weight table across sizes, for the complete configuration (panel + carrier, or plate per cut/size). Ultralight composite systems - TehnoUrban's specialty - can substantially reduce load, but every claim should arrive as numbers on a data sheet, not adjectives.

4. "Is the plate stand-alone or in-conjunction?"

If a hard armour plate achieves its rating only over specified soft armour, your organisation must own and issue that soft armour. This single question prevents a well-documented category of procurement failure.

5. "What is the declared service life and warranty, and what does it cover?"

Ask for the shelf/service life in years, warranty duration, what invalidates it (impact, water, UV, improper storage), and the recommended inspection regime. Get end-of-life and post-impact handling guidance in writing.

6. "What are your production lead times and capacity?"

Framework agreements live or die on delivery reliability. Ask for realistic lead times for both initial delivery and repeat call-offs, and what happens under surge demand.

7. "What sizing support do you provide?"

Ill-fitting armour protects poorly and gets worn badly. Ask whether the supplier supports measuring sessions, size trials, and - where relevant - configurations suited to female personnel.

8. "How do you verify that buyers are authorised?"

This question tests the supplier's compliance culture. Companies like TehnoUrban that supply exclusively authorised military, law-enforcement, government and licensed security users maintain verification procedures - a supplier casual about who it sells to may be casual about other obligations too.

9. "What procurement documentation can you provide for our tender process?"

For Romanian SEAP/SICAP procedures and EU or NATO-related purchases, you will need technical data sheets, compliance statements, and often documentation in a specific language. Suppliers experienced with institutional tenders will have these ready; ask to see a sample technical package.

10. "Who provides after-sales support, and where?"

Local or regional support matters when panels need inspection, carriers need replacement parts, or documentation needs updating mid-contract. For Romanian institutions, a domestic specialist offers response times and language support that distant manufacturers cannot always match.

A supplier that welcomes scrutiny

TehnoUrban works with authorised institutions across Romania and Europe on light and ultralight ballistic and anti-stab protection - and treats questions like these as the normal starting point of a professional relationship.

TehnoUrban supplies authorised professional organisations only. All product claims are supported by model-specific documentation provided during the enquiry and tender process.
